Transforming Invoice Processing with RPA: Faster, Smarter, and Error-Free

Our client leverages a cloud-based ERP system to manage purchase orders (POs), invoices, and various other business processes. On average, the client receives over 3,000 invoices per month via email, often as attachments within ZIP files. These invoices must be categorized by company type and entered into the ERP system within a strict SLA of 24 hours. Additionally, some invoices are classified as credit invoices, which require special handling.

The Solution

Invoice Retrieval and Storage

The automation bot downloads invoice attachments from emails and saves them in a designated folder on the client's shared drive.

Data Extraction

Leveraging AWS Textract, the bot extracts invoice data from the documents and converts it into a structured CSV file format.

Data Processing and Integration

The bot reads the extracted data from the CSV and creates a master template in Google Sheets using the Google API service. Once the master data is prepared, the bot uses GET and POST services to extract data from Google Sheets and seamlessly input it into the client’s cloud-based ERP system.

Efficiency and Accuracy

The automation achieves over 95% accuracy in data entry and reduces the processing time to just 3 minutes per invoice, a significant improvement over the manual process.

Challenges in Traditional Invoice Processing

Time-Consuming Processes

Manual entry, verification, and approvals can take hours per invoice.

Human Errors

Data entry mistakes lead to inaccuracies and rework.

High Operational Costs

Extensive labor is required for managing high invoice volumes.

Lack of Visibility

Limited tracking and reporting capabilities hinder decision-making.

Exception Management

Bots flag anomalies for human review, maintaining process control.

Customizable Workflows

RPA adapts to various invoice formats and organizational requirements.

Benefits

Faster Processing

Reduced invoice handling time from hours to seconds.

Error Elimination

Improved data accuracy and minimized rework.

Cost Efficiency

Reduced reliance on manual labor, lowering operational costs.

Scalability

The system adapts to increasing invoice volumes without additional resources.

Outcome

By implementing this RPA solution, the client has drastically reduced the time, effort, and errors associated with invoice processing. The automated workflow not only meets the SLA requirements but also improves operational efficiency and stakeholder satisfaction.
